Approval step
Where a decision a workflow asks for turns up, and what an approval record carries.
An Approval step asks a person or a group to approve or reject, and waits for the answer. This page covers where that decision turns up for whoever has to make it, and what an approval holds.
Where the decision turns up
The person or group the step names finds the decision in Approvals, headed "Decisions waiting on you".
- A decision asked of one person appears under My Approvals.
- A decision asked of a group appears under Group Approvals — available to claim for everyone in that group, until one of them claims it.
Tick Show completed to bring back decisions that have already been made. Leave it clear and the inbox lists only what is still open.

A record can also be sent for a decision by hand: open the record and choose Submit for Approval in its header.
What an approval holds
An approval is itself a record, of the platform record type Approval. These are the fields it carries.
| Field | What it holds |
|---|---|
| Number | The approval's own record number. |
| Short Description | The one-line statement of what is being decided. |
| Description | The longer explanation. |
| Assignment Group | The group the decision is offered to. |
| Assigned To | The person it is assigned to. |
| Due Date | When the decision is wanted. |
| State | How far the decision has got. |
| Entity | The record type the decision concerns. |
| Associated Record | The record the decision concerns. |
| Workflow Instance | The workflow run the approval belongs to. |
| Decision Comment | The comment left with the decision. |
These are the fields every approval has, everywhere in the workspace. Approval is a platform record type: an administrator can open its configuration and read every field, but it cannot be edited or saved, so you cannot add fields to it or take any away.

Viewing that configuration is an admin screen, so only org-admins and radp-admins can reach it. Anyone asked for a decision works from the Approvals inbox instead.
